On Par — golf coaching app
Last updated: 12 October 2026
On Par is run by On Par Software LTD ("On Par", "we", "us"), a company registered in England and Wales number 17417297, registered office 24 Birch Grove, Cobham, United Kingdom, KT11 2HR. We are the data controller for the personal data described here.
Any questions, or to exercise any of the rights below:
support@onpargolf.ai
1. Who uses On Par

On Par has two kinds of account, and what we hold differs between them:
-
Coaches — golf professionals who take bookings, write lesson notes, set drills and review swings.
-
Players — people who book lessons with a coach and practise between them.
A player's coaching data is visible to the coach they are connected to. That is the point of the app, and it is worth being clear about it up front: your coach can see your lesson history, the notes they write about you, the drills they set, the swing videos you send them and the messages you exchange. Coaches cannot see the private notes of other coaches, and players cannot see other players.

2. What we collect, and why

Information you give us
-
Name and email address — to create and identify your account.
-
Phone number (optional) — so your coach can reach you about a lesson.
-
Profile details — handicap, target handicap, photo — to show your coach who they are coaching, and to track progress.
-
Coach business details — display name, business name, locations, prices, working hours — to let players find and book you.

Information a coach gives us about you
-
A coach can add you to their roster before you have an On Par account — by typing in your details, or by importing a file of their existing clients from the software they used before. In that case we hold your name, and whatever else their records contained: usually an email address, sometimes a phone number, a handicap, and a history of the lessons you have already had with them.
-
Your coach decides to do this, not us. For those details, and until you create an account, your coach is the data controller and we process the information on their behalf. They are responsible for having a lawful basis to share your details with us, and for telling you that they use On Par. If you would rather not be on it, ask your coach — they can remove you, and we will act on a request made directly to us at support@onpargolf.ai as well.
-
If your coach asks us to, we will send you one invitation email telling you they have set up an account for you and how to open it. We do not send marketing to people who have not signed up, we do not send reminders if you ignore it, and we do not use your address for anything else. An unclaimed record is never visible to any coach but the one who created it.
-
When you do sign up with the address your coach holds for you, or by following the link in that invitation, their existing record becomes your account rather than a second one — which is why the lessons and credits they had already recorded are there when you arrive.

Information created by using the app
-
Bookings, cancellations and attendance — to run the diary and the credit ledger.
-
Session notes, drills, assignments and practice logs — the coaching record itself.
-
Swing videos, thumbnails, annotations and saved AI reviews — so a coach can review a swing and a player can look back at it.
-
Messages between a coach and a player, including their content — to deliver the conversation.
-
Lesson credits and the transactions behind them — to keep balances correct and auditable.
-
Notifications and reminders sent to you — to show your notification history and avoid sending duplicates.
-
Device push token — to deliver push notifications to your phone.

Information collected automatically
-
Crash reports — to find and fix crashes.
-
Usage analytics — which screens are opened and which features are used — to understand what to improve.

Crash reports are handled by Sentry. They carry your internal On Par user id and whether you are a coach or a player, and nothing else that identifies you — no name, no email, no content you have typed.

Usage analytics are handled by PostHog on their EU infrastructure. Events record that something happened — a lesson was booked, a note was saved — never names, email addresses or anything you typed. Record identifiers are stripped from screen views. You can turn analytics off for your device at any time: More → Notifications → Share usage data. Turning it off does not affect anything else in the app.

What we never collect
-
We never see or store your card details. Payments are handled entirely by Stripe, and card data goes directly to them.

3. Permissions the app asks for

We ask only when a feature needs it, and the app works without them — you simply cannot use that feature.
-
Camera — recording a swing or a coaching video.
-
Microphone — recording video, and dictating a session note.
-
Photo library — choosing an existing video to upload instead of recording one.
-
Location (while using the app) — showing coaches near you. We use it to sort results; we do not store a history of where you have been.
-
Calendar — adding a booked lesson to your own calendar, if you ask the app to.
-
Notifications — lesson reminders, booking confirmations and messages.

4. Artificial Intelligence

Some features use AI models to turn what you provide into something more useful:
-
Dictating a session note sends the audio recording for transcription.
-
"Enhance with AI" sends the note you wrote for your player so it can be rewritten more clearly. A coach's private note is never sent.
-
Swing reviews and coaching guidance analyse the material you have supplied.
-
The lesson brief summarises a player's existing history for their coach shortly before a lesson.
Â
Where this happens depends on the feature.
Â
Transcription, note rewriting, coaching guidance and the lesson brief run inside our data platform (Snowflake Cortex) in the Netherlands. Your material does not leave it.
Swing reviews are different. To review a swing we send still frames from your video — which show you — to Anthropic's API in the United States, and the review that comes back is stored with the rest of your coaching record. Nothing else about you is sent with them: no name, no email, no lesson history.
In both cases your content is not used to train anyone's general-purpose models, and AI output is a drafting aid — a coach sees and can edit anything AI produces before a player ever does.

5. Who we share your data with
We do not sell your data and we do not share it for advertising. We use a small number of processors, each doing one job:
-
Auth0 (Okta) — signs you in, including Sign in with Apple and Google. EU.
-
Snowflake — stores the app's data and runs most of the AI features. Netherlands, EU.
-
Anthropic — analyses the still frames of a swing review. US.
-
Fly.io — runs our API server. Amsterdam, EU.
-
Stripe — takes payments and pays coaches. EU and US.
-
RevenueCat — manages Player+ and Coach Pro subscriptions. US.
-
Apple and Google — bill subscriptions bought in the app. Global.
-
Expo — delivers push notifications to your device. US.
-
Resend — sends the emails On Par sends, including a coach's invitation to a player. US.
-
Sentry — crash reporting. Germany.
-
PostHog — usage analytics. EU.

Where a processor is outside the UK or EEA, transfers are covered by the UK International Data Transfer Addendum and the EU Standard Contractual Clauses.
We will also disclose data if the law requires it.
Â
Legal bases

Under UK GDPR we rely on:
-
Contract — running your account, bookings, payments and the coaching relationship. Without this we cannot provide the service.
-
Legitimate interests — keeping the app secure, fixing crashes, and understanding how the app is used so we can improve it. You can object to analytics with the switch described above.
-
Consent — device permissions, and push notifications. You can withdraw either in your phone's settings at any time.
-
Legal obligation — keeping financial records.

6. How long we keep it
Â
-
We keep your account data for as long as your account exists.
-
When you delete your account we remove your name, email address, phone number and profile details, every swing video of you and its thumbnails, your saved AI swing reviews, and your sign-in. You will not be able to log back in; signing up again starts an empty account.
-
Your coach keeps a record of the lessons that took place and the payments that were made, with your name removed. We are legally required to retain financial records, and a coach needs an accurate history of their own business. In their records you appear only as a deleted player, and you disappear from their player list.
-
Financial records are kept for seven years.
-
A record your coach created for you but that you have never claimed is kept for as long as they keep you on their roster, because it is their record of their own client. Ask them to remove you, or us, and it goes. An unused invitation expires after 30 days.

7. Your rights
Â
You can ask us to:
-
give you a copy of your data
-
correct anything that is wrong
-
delete your account and data (see above)
-
restrict or object to how we use it
-
send your data to another service
Email support@onpargolf.ai and we will respond within one month.
You can delete your account yourself in the app: More → Delete account.
If you think we have handled your data badly, you can complain to the Information Commissioner's Office at ico.org.uk. We would rather you told us first so we can put it right.

8. Other
Â
On Par is not intended for children under 13, and under-16s should only use it with a parent or guardian's involvement. Junior players are normally set up and managed by a parent or by their coach. If you believe a child has given us data directly, email us and we will remove it.
Â
Changes
If we change this policy we will update the date at the top, and tell you in the app if the change is significant.
